Managing Fees

1. Click "Fees and Taxes"

2. Click the plus icon in the top right

Fee Type Description 

Age Fee

Smart fee*

Add a fee based on the renters age, this fee will get automatically applied during booking of a reservation if the renters age was supplied during the initial search or if the driver information has been populated. This will get added during check out if the driver's age falls within the min or max age.

Note:  the fee will be applied if the driver's age is in the age range, including if the driver's age is equal to the minimum or maximum value.

Driver Fee

Smart Fee*

Add a fee for each additional driver added. This fee is calculated for each additional driver on the contract. 

Drop Fee

Smart Fee*

Add a fee for dropping off the car in a different location then the pickup. The only way to allow a one way rental is to setup a drop fee with the drop off location being that location. 

Fuel Fee

Smart Fee*

The fuel fee is added after a vehicle has been checked in if the fuel level is not full and the renter did not purchase prepaid fuel. The three values are Amount which is the amount of fuel currently in what ever measurement the location is setup to follow (Liter/Gallon). The markup amount is the amount to markup the fuel per Liter/Gallon and the Service amount is a flat rate to add for handling the refueling.
Percent Fee A generic fee that is calculated as a percentage of the time and mileage. Optionally can be calculated on other fees by creating it and then editing it in the Tax Matrix tab. This can be added manually or be marked as mandatory to be added to all reservations/contracts automatically.
Prepaid Fuel Fee Setup a prepaid fuel fee for purchasing fuel up front with the amount being the per gallon/liter price.
Quantity Fee A generic fee that can be calculated per day or per contract. This can be added manually or be marked as mandatory to be added to all reservations/contracts automatically.
Toll Fee Used to add an overhead/administrative amount when adding a toll after a rental is on contract/closed/returned
Citation Fee Similar to a toll fee but different name for citations (Speeding Tickets/Red Light Cameras/etc)
Tax A tax is a special type of percent fee to be applied last for things such as sales tax, HST, GST, VAT or other government defined taxes. These are always applied and done so in coordination with the Tax Matrix. A tax can be waived during check out of a rental if appropriate documentation is provided.
Prepaid Milage Fee The customer has the option to purchase additional milage upfront

Out of Hours Fee

Smart Fee*

Used to charge people for picking up or dropping the car off after store hours
Negative Fee Used for discounts instead of promo codes
Delivery Fee Used for charging the custoemr for a delivery charge, for example a hotel, airbnb, ect
Citation Fee Used to create fee for a driving citation

Car Class Restrictions

All fee types can be restricted to a subset of car classes by unchecking the apply to all car classes. This is useful if there are different fee's or taxes for a different type of vehicle.

Smart Fee

These fees automatically apply based on what is inputted during the reservation or walk-in process

 

4. Click "Save" to add the new fee to be able to be used.

Types of Fees

Age Fee

Add a fee based on the renters age, this fee will get automatically applied during booking of a reservation if the renters age was supplied during the initial search or if the driver information has been populated. Toll Fee

Unlimited Toll Plan

For customers to pay for fees upfront instead of getting an invoice later
