Complete an inspection with Damage ID

Learn how to complete an inspection report using Damage Id.

 

 

 

During Check Out

If inspections are enabled, the last step of Checking Out a contract will have an inspection required symbol near the bottom of the page. An inspection must be completed through the Damage ID app before opening the contract.

If the confirmation number at the top differs from the confirmation number in the contract, e.g. External Reservations, please use the confirmation in the contract. (The number within the red box)

 

Open up the Damage ID mobile app

Ensure the template selected is set to Damage Inspection - 7

Type in the confirmation number exactly as shown at the top of the page. (Please use the exact capitalization)

 

Note:

If the vehicle is re-assigned / switched in the Assign Vehicle step, the Damage ID will have multiple vehicles assigned to the same contract. Please ensure you select the correct/latest asset number in the Damage ID.

 

If the agent would like to send a link for the customer to perform an inspection, they can click on the Send Inspection Report button. The agent can either click on the Send button to email the customer the link or the Copy Url button to manually send the customer the link. 

Note:

In situations where the link fails to generate, it is advised to login the Damage Id App and complete the inspection from there.

 

 

 

During Check-In

If inspections are enabled, and an inspection was performed during Check Out, then the Check-In process will also require an inspection to be completed. If an inspection was not performed during Check Out, you may safely close the contract. 

If the confirmation number at the top differs from the confirmation number in the contract, e.g. External Reservations, please use the confirmation in the contract. (The number within the red box)

Open up the Damage ID mobile app and enter the confirmation number exactly as shown above. (Please use the exact capitalization)

Once an inspection is completed during the Check-In, you can proceed to close out the contract.

Note:

In order to start the check-in inspection process, the agent must check-in the contract and enter in the vehicle details. Once the vehicle details have been entered, then the agent can go to Damage ID to complete the inspection process.

 

 

On Rent

If inspections are enabled and an exchange is performed, then an inspection must be performed on the newly assigned vehicle before the contract is opened again. An inspection must also be performed on the returned vehicle, but will not affect the status of the contract. 

Open up the Damage ID mobile app

Ensure the template selected is set to Damage Inspection - 7

Type in the confirmation number. (Please use the exact capitalization)

Inspection Details

Under the Car Class column, there are 2 symbols. The left symbol indicates whether an inspection has been completed for Check Out. The right symbol indicates whether an inspection has been completed for Check-In. 

Pre-Inspection

If pre-inspection is enabled, then only pre-inspected vehicles can be assigned to a contract. A pre-inspection must be completed every time a vehicle has been returned from a contract in order for the vehicle to be available to be assigned to other contracts.

To pre-inspect a vehicle, go to Damage ID

Select the PRE-INSPECTION template and enter the asset number. (Please use the exact capitalization)

If the asset number doesn't exist, click the Sync Fleet button near the bottom to register the vehicle in Damage ID

Once a pre-inspection has been completed, the “Pre-Inspection Completed” field will say Yes and can be assigned to a contract.

Bypass Inspection

Note:

Bypass inspection is currently only available to Brand Owners

 

Brand Owners can choose to bypass an inspection in situations where Damage Id is down. Click on the Bypass Inspection button to continue with the contract. Damage Id will not have an inspection in their system, so the contract might need to have the inspection bypassed in Check-in as well.

LATEST UPDATE Version 4.8

The link below describes the changes made to the Version 4.8 update. When Damage Inspection - 7 is selected, the Vehicle Identifier must be RA NUMBER. You can verify it this by seeing a field with the text “RA NUMBER #” grayed out. 

When PRE-INSPECTION is selected, the Vehicle Identifier must be UNIT NUMBER
